Module Overview

The Compliance & Contracts module manages key supplier certifications, self-assessments, contracts, policies, acknowledgements, forms, and other documents required to ensure supplier compliance.

It helps teams track validity, expiration, and overall status of documents, contracts, and certificates. It can automate expiration reminders and renewal processes by assigning tasks to internal team members and suppliers. It can also allow suppliers to self-manage required documents, with optional internal approval routing and a configurable rules engine.

The goal is straightforward: give teams real-time visibility into supplier compliance status across the entire supply base from a single pane of glass.

The module can be used for:

  • Supplier certificates such as ISO9001, ISO14001, IATF 16949, ISO27001, CQIs, and more.
  • Standard agreements such as NDAs, Supply Agreements, Master Services Agreements, Long-Term Purchase Agreements, and others.
  • Supplier Code of Conduct, Terms and Conditions, Supplier Quality Handbooks, and other policy acknowledgements.
  • Custom forms for ESG, CSDDD, CSR, CMRT, EMRT, DDRT, and related compliance initiatives.

Target Users and Use Cases

Compliance & Contracts is for teams that need supplier certificates, contracts, policies, forms, and acknowledgements to stay current.

Primary users include:

  • Compliance and risk teams.
  • Procurement, supplier quality, and supplier management teams tracking supplier documents.
  • Legal teams managing supplier agreements and policy acknowledgements.

Common use cases include tracking required supplier documents, routing supplier uploads for approval, applying Requirement Rules, sending expiration reminders, and monitoring real-time compliance status.

Features and Capabilities

Compliance & Contracts is designed to work out of the box, with customization available later if needed.

Core capabilities include:

  • Track certificates, contracts, policies, and other supplier-related documents.
  • Track expiration / validity dates across multiple versions.
  • Create custom Document Types with configurable settings.
  • Setup approval workflows to review and approve supplier-submitted documents.
  • Send automatic reminders and assign tasks to internal users and/or suppliers.
  • Set compliance requirement rules to control which suppliers need which documents on file.
  • Automatically notify and chase suppliers for uploads when requirements are not met.
  • View compliance status of all vendors for all compliance requirements in real time.
  • View documents and status for all suppliers for a specific Document Type.
  • View all documents for a single supplier from the Supplios profile page.
  • View status of all documents across all vendors from one page.

Feature tiers include:

  • Base / Internal Tracking: Track certificates, contracts, policies, expiration / validity dates, and custom Document Types. No supplier-side uploads.
  • Advanced / Supplier Upload: Everything from Base, plus supplier-side uploads with optional internal approval steps after supplier submission and a Requirement Rules engine based on supplier tags.
  • Enterprise: Everything from Advanced, plus additional Document Types, custom actions on document lifecycle events, and advanced Requirement Rules scoped to single parts, plants, locations, and other criteria.

Optional customization can support actions such as deducting scorecard points if requirements are not met, triggering custom expiration actions, or starting escalation flows when supplier requirements are not met.

Benefits and ROI

Compliance & Contracts ROI usually comes from reducing manual document chasing, improving compliance visibility, and lowering the risk of expired or missing supplier documents.

Typical benefit categories include:

  • Less time tracking certificates, contracts, policies, and acknowledgements manually.
  • Fewer supplier follow-up emails because reminders and tasks are automatic.
  • Better visibility into expired, expiring, missing, or pending documents.
  • Stronger enforcement of requirements based on supplier tags and rules.
  • Faster review and approval of supplier-submitted documents.
  • Better audit readiness and more complete document history.
  • Better supplier accountability through supplier self-management when enabled.
  • Better integration with onboarding, scorecards, audits, supplier profiles, and custom workflows.

The module gives compliance and supplier management teams a practical way to keep required supplier documents current without relying on spreadsheets and calendar reminders.

How Implementation Works

  • Customer inputs: Required document types, existing files, expiration/validity dates, supplier rules, approval requirements, reminder timing, escalation needs, and custom lifecycle actions.
  • Supplios setup: Configure document types, Requirement Rules, reminders, supplier uploads, approvals, and initial document imports or requests.
  • Typical timeline: Standard Compliance & Contracts setup is ready on day 1 and does not require customization to get started. Any custom actions, advanced rules, integrations, or escalation flows are typically 2-4+ weeks.
